Challenge / brief

The team needed full conference documentation plus social-ready excerpts within hours of each day’s sessions—without expanding an already tight on-site footprint. Approvals involved marketing, legal, and internal comms, so publishable clips had to follow brand lines, music clearance, and embargo rules before anything went live.

Scope of work

  • Multi-camera documentation with audio prioritized for keynotes and panels; handheld and podium paths coordinated with stage management
  • Run-of-show alignment with session titles, sponsor moments, and room changes across a dense two-day programme
  • Scheduled social pull list tying editors to speaker order, embargoed segments, and sponsor slots
  • Coordination with in-house AV for tie-lines where documentation feeds could not duplicate house microphones
  • End-of-day handoff windows for vertical cuts with named approvers and backup contacts

Deliverables

  • Session masters for archival and learning use
  • Daily recap cuts for internal channels within agreed turnaround
  • Vertical excerpts cleared for public channels where scoped
  • Shot priority list and media log reused for the next regional programme

Supporting visuals

Stage and audience imagery remain client-confidential; representative frames are not published here.

Outcomes

Day-two sessions reused a clearer capture and approval rhythm—fewer emergency edit requests and less duplicate B-roll gathering on the floor.

  • Repeatable session formats on day two with faster editorial turnaround
  • Fewer last-minute “can we get a clip of…” requests to documentation crews
  • Documented pull list adopted for the following regional conference

Programme context

This engagement is representative of how event coverage and social media coverage scopes interlock when marketing needs visibility during show hours—not only after the conference wraps. Documentation crews and editors shared one priority list, which is what kept the on-site footprint disciplined.
